Guava Forms - what is it and what you can do with it?

With Guava forms you can send information to your organisation - feedback, templates or other type of information. In addition, it is possible to create both surveys and mini-surveys.

How to fill and send the form?

To fill out and send the form, the user must select "Forms" in the menu on the left. Then you have to choose the right form from the "Form" option that you want to use to send the information.

Different forms are for sending different information, each form can have a different structure, and depending on the information, there can also be different recipients who see the completed form sent by the user.

To send the form, you should fill in all the fields of the form and add an attachment if you wish. If the "Send anonymously" option is visible, it is possible to send the form in such a way that the user's data is not displayed to the company.

After filling in the form, you should press "Send form" to send the form to the organization.

How to send feedback anonymously if possible?

If the organization has enabled the transmission of information anonymously, it is possible to select "Send anonymously" on the form. With this option, information about the sender is not displayed to the organization.

It should be noted that if you add an attachment to an anonymous form, e.g. a picture, the so-called metadata (location and time, shooting device, etc.) is not separated from the Guava picture.

How do I view the forms I have sent?

The user can view the forms they sent from the menu Forms > Reported. All forms submitted by the user are displayed here. As you can see from the picture, if you select "Send anonymously", no sender information is added.

Forms sent by yourself can be viewed by clicking on the title of the form.

How to participate in the processing of submitted forms?

Sometimes, in order to process the form, it is necessary to specify the information, to inform about the result or the form is used to request information of interest to the employee (e.g. vacation balance). This can be done through form comments. If the form handler asks for additional information or responds to the user, a notification of a new comment on the form will be sent, regardless of whether the form was sent publicly or anonymously.

By clicking "Go to forms", a detailed view of the given form opens and the sent comment is visible. The user can also add his own comments, in case of anonymous communication, Guava displays the user as "Reporter".

How to participate in the processing of other submitted forms?

Sometimes admins may ask for help from other users to process the forms. This is similar to processing forms sent by yourself.

The forms assigned to you are in the sub-menu Forms > Assigned. Reading and leaving comments is similar, but there are two channels for comments - internal and public. The internal comment of the company is visible only to the administrators connected to the form and to the users assigned by them, this channel is not visible to the sender of the form. A public channel is visible to everyone (form handlers and senders).
